ANNUAL GENERAL MEETING 2004

The AGM of the Company will be held on THURSDAY FEBRUARY 26TH 2004 commencing at 8.00PM in ST. LUKES CHURCH HALL, SHEDDEN HILL, TORQUAY.

If you are unable to attend this important meeting please tender apologies in writing, or by telephone, to me at the address on the right. YOUR ATTENDANCE IS ADVISED SO THAT A GOOD NUMBER ARE PRESENT, EVEN IF YOU ONLY ATTEND TO MEET YOUR FRIENDS !!
A copy of the minutes of the 2003 AGM/EGM is enclosed. Please read them. Vice-Presidents are encouraged to attend, but are not eligible to vote on any matters, but may speak from the floor on any matter.

Nominations are invited for any of the positions within the committee. All nominations must be signed by the person nominating and also by the nominee and must also be signed by a seconder. Nominations should be sent to me, to arrive no later than 8.00pm on Sunday 22nd February. Any incorrect or late nominations will not be considered. If you wish to nominate someone please use the form provided. (Rule 18)

I would point out that sitting officials and committee members who are willing to re-stand do not have to be nominated or seconded, but committee members seeking to become officials and vice-versa do have to be nominated in the usual way.

You are reminded of Rule 14a regarding proxy votes – “voting forms for all committee positions shall be sent out to members with their notice of AGM. Members attending the meeting shall hand in their completed forms in the normal way. Those unable to attend shall deliver the slips to the Secretary duly completed and placed in a sealed envelope. The members name shall be written on the back of the envelope. The secretary shall record the fact that such member has voted thus ensuring no duplication of votes. The envelope shall be handed to the teller who will remove the voting slip and include it with all other voting slips in the normal way.” (details of nominations received can be obtained from the secretary any time after 8.00pm on Sunday February 22nd to enable you to consider your votes, if not attending the AGM)

Please note that all positions on sub-committees are unofficial and do not come up for consideration at the AGM. Likewise the position of Vice-Chairman is appointed by the committee and not at the AGM. You are also reminded that under Rule 20, the sitting committee continues to hold office until the conclusion of the AGM at which it’s successors, if any, are elected. Therefore under rule 27, the current committee shall have the power to decide any questions arising out of the rules as exist currently, or out of the proposed changes if accepted, if such questions arise during the meeting.
